Job Summary
Under moderate supervision, establishes and maintains departmental files and operates office equipment.
Duties and Responsibilities
  • Establishes and maintains files and records systems
  • Checks and compiles information
  • Processes checks received via U.S. Mail
  • Scans and indexes documents received from Metro departments; quality checks all scanned images
  • Operates a computer terminal to retrieve, enter, and update records
  • Establishes, checks in, and maintains files and records in the Records Management Center (RMC) database system
  • Reviews the contents of boxes to ensure all requirements are met; barcodes boxes of records and approves the transmittal for off-site storage
  • Reviews and approves transmittals for direct destruction of approved obsolete records
  • Maintains departmental records of all transactions related to off-site issues
  • Provides high level customer service
  • Corresponds with vendors and customers via e-mail and U.S. Mail
  • Types, logs, labels, and files routine memos, letters, and other materials
  • Operates a variety of office equipment
  • Maintains scanning equipment and performs daily preventative maintenance
  • Contributes to ensuring that the Equal Employment Opportunity (EEO) policies and programs of Metro are carried out

Essential Knowledge, Skills and Abilities

  • Complex recordkeeping and filing principles
  • General office practices and procedures
  • Correct grammar, punctuation, and spelling
  • Applicable business software applications

  • Interacting professionally with fellow employees and outside vendors

  • Input data at 15 net words per minute
  • Establish and maintain recordkeeping systems
  • Maintain confidentiality of materials and files
  • File materials alphabetically and numerically
  • Follow written instructions
  • Lift and move objects weighing up to 50 pounds
  • Read, write, speak, and understand English
Minimum Qualifications
A combination of education and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the position. Additional experience, as outlined below, may be substituted for required education on a year-for-year basis. A typical combination includes:
