Job Summary

Under moderate supervision, assists the General Services Supervisor in assigning, monitoring, and reviewing work assigned and performed by the Mail Services Staff and maintains distribution of Metro's business and expedited mail.

Duties and Responsibilities
  • Leads employees by assigning work and providing training
  • Trains new employees on all tasks related to mail services
  • Coordinates the distribution of schedule modifications
  • Sorts, weighs, bundles, labels, date stamps, and delivers mail
  • Loads and unloads mail and supplies to and from mail vehicles
  • Uses a pushcart in delivering mail within the Headquarters building
  • Receives, prepares, and distributes expedited mail and packages through the appropriate courier service
  • Orders and maintains inventory of stationery and supplies
  • Operates the inserting and labeling machine
  • Operates postage metering machine
  • Operates photocopy machines and duplicate materials
  • Files invoices, packing slips, purchase orders, correspondence, and reportsFiles correspondence and reports
  • Loads "shakeup printed materials" during the shakeup period
  • Utilizes various computer systems for various mail services tasks and recordkeeping, e.g., United Parcel Service (UPS) Tracking System, SMART Track, and Metro Mail Services database
  • Contributes to ensuring that the Equal Employment Opportunity (EEO) policies and programs of Metro are carried out

Essential Knowledge, Skills and Abilities

  • General office practices and procedures
  • Basic computer and office practices
  • Vehicle operation and safety
  • Safety rules regarding storing, transporting, and distributing materials


Skill in (defined as the proficient manual, verbal, or mental utilization of data, people, or things)

  • Filing materials alphabetically, chronologically, and numerically
  • Operating reproduction equipment utilized in assignment
  • Communicating effectively with others
  • Interacting professionally with various levels of Metro staff and outside representative
  • Establishing and maintaining effective working relationships with staff and other employees

  • Train other employees in mail services duties and procedures
  • Follow oral and written instructions
  • Lift and move objects weighing up to 75 pounds
  • Travel to offsite locations
  • Read, write, speak, and understand English
Minimum Qualifications

A combination of education and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the position. Additional experience, as outlined below, may be substituted for required education on a year-for-year basis. A typical combination includes:

Experience

  • Two years of relevant experience performing general mail services duties


Certifications/Licenses/Special Requirements

  • Valid California Class C Driver License

  • Possession of a forklift certification preferred; training will be provided once hired
